What we need from you and what we bring.

Venue Requirements

  • Access to one standard power outlet per station
  • 6-8 feet of table space for espresso bar setup
  • Access to venue 90 minutes before event start
  • Indoor or covered outdoor space preferred

We Provide

  • All coffee equipment and espresso machines
  • Cups, napkins, stirrers and servingware
  • Table linens

Event Sizes

  • Intimate: 10-30 guests
  • Medium: 30-100 guests
  • Large: 100-300 guests
  • Custom: 300+ guests (contact us)

Terms & Conditions

Booking & Deposits

A 25% deposit is required to confirm your date. The remaining balance is due 7 days before the event. We recommend booking at least 3 weeks in advance for best availability.

Cancellation Policy

Full refund if cancelled 14+ days before the event. 50% refund for cancellations 7-13 days before. No refund within 7 days of the event. Rescheduling is free with 7+ days notice.

Liability & Insurance

Café O carries full commercial liability insurance. We comply with all Ontario food safety regulations. Allergen information is provided for all menu items upon request.

Frequently Asked Questions

How far in advance should I book?
We recommend at least 3 weeks for most events. For large events (100+ guests) or peak season (May through October), 4-6 weeks is ideal. Last-minute bookings may be possible depending on availability.
Can you accommodate dietary restrictions?
Yes. We can accommodate vegan, vegetarian, gluten-free, nut-free and other dietary needs. Let us know during the consultation and we'll build a menu that works for everyone.
Do you provide staff for the event?
Yes. All espresso bar packages include trained baristas. Food service packages include servers. The number of staff depends on the event size and service style.
What areas do you serve?
We serve events throughout the Kitchener-Waterloo, Cambridge and Guelph areas. Travel fees may apply for events outside the Tri-Cities region.
Do you cater outdoor events?
Yes, with a covered or tented area for our equipment. We need protection from rain and direct sun for the espresso machines. Fully outdoor setups are possible in fair weather with prior arrangement.
